The Availability settings in HydraBooking allow you to define when hosts are available for bookings. Setting specific availability times helps you control when appointments can be scheduled, ensuring that your availability aligns with your operational hours.

Add New Availability

The Add New Availability section allows you to create custom availability schedules for your bookings. You can set up standard weekly hours and add specific date overrides for unique availability needs. This is ideal for businesses or hosts with varying schedules.

1. Title

The Title field lets you give a name to each schedule. This title is useful for organization, especially if you manage multiple availability schedules for different hosts or departments.

  • Title: Enter a descriptive title, such as “Standard Weekly Hours” or “Holiday Schedule,” to easily identify the schedule.

2. Time Zone

Setting the correct Time Zone ensures that bookings align with your local time, even if your clients are in different time zones. This helps avoid confusion for both clients and hosts.

  • Time Zone: Select your local time zone from the dropdown menu. This will standardize all bookings to your preferred time zone.

3. Weekly Hours

The Weekly Hours section allows you to set up regular availability for each day of the week. You can specify when bookings are accepted on a daily basis, which is ideal for businesses with consistent operating hours.

  • Days of the Week (Monday to Sunday): For each day, specify your start and end times. For example:
    • Monday: 9:00 AM to 5:00 PM
    • Tuesday: 10:00 AM to 4:00 PM
  • If you’re unavailable on certain days, leave the field disabled to indicate no availability.

4. Add Date Overrides

The Add Date Overrides option allows you to set specific dates when your availability differs from your regular weekly hours. This is useful for holidays, special events, or unique time adjustments.

  • Add Date Overrides: Click on this option to add a new override date.
    • Date: Choose the specific date when the availability will differ.
    • Time Range: Set the start and end times for that specific date. For example, if your hours on a holiday are shortened, you might set 10:00 AM to 2:00 PM for that day.
  • You can add multiple overrides if you have several unique dates to customize.

  1. How can I make sure that when I book an appointment, that time isn’t available on the different booking calendars?

  2. I meant different meetings, meaning all meetings share availability so appointments don’t overlap. Thank you.

  3. Thanks, but what I need is “a single host” with “multiple different meetings” and “different time slots for each meeting type” for that single host. How do I make it so that when a client books a time slot in one of those meetings, “that time slot is automatically removed” from the other meeting types?

  4. At the moment, Hydra Booking allows hosts to create multiple meeting types, each with its own individual availability. However, these availabilities are managed separately, meaning time slots booked in one meeting type do not yet block availability in others.

    We understand the need for a shared calendar where a single host can offer different meeting types, and any booked time slot is automatically removed from all others. We’re calling this upcoming feature “Unified Availability for Multiple Meetings”, and we’re excited to let you know it’s already listed on our roadmap for future development.
